Managing lookup tables

A Lookup table is used in conjunction with the Data Lookup tool, as follows:

  • The Data Lookup tool is a drop-down field within a form that references an external data source, allowing the mobile user to select and load data into the form quickly. Click here to learn about the Data Lookup tool.
  • A Lookup table is an external data source that feeds into the Data Lookup field in the form. Lookup tables can be imported into doForms as external CSV or Excel files, or generated from an internal doForms data table. The maximum size for CSV files is 25MB and for Excel files is 10MB. 

Managing existing Lookup Tables

Viewing list of existing Lookup Tables: From the doForms Form builder, select the Lookup data menu option. This will open the Manage Lookup Data window:

Perform action on existing Lookup Table: Click the drop-down arrow for the desired existing Lookup Table to display a menu of options:

Select one of the following options:

  • Update: Select this option to perform updates to the selected Lookup Table (refer to A through F in the figure below):

  • A. Update: Select this to replace the existing Lookup Table by uploading a new CSV or Excel file. Note that the number of columns and the column names must match the existing Lookup Table exactly.
  • B. Delete: Select this to delete the existing Lookup Table. You will be asked to confirm deletion.
  • C. Append another file to this table: Click this button to append (add on at the end) to the existing Lookup Table. Note that the number of columns and the column names must match the existing Lookup Table exactly.
  • D. Download Excel: Select this option to download the existing Lookup Table as an Excel file.
  • E. Download as CSV: Select this option to download the existing Lookup Table as a Comma Separated Value (CSV) file.
  • F. Description: Enter descriptive text for this Lookup Table.

Delete: Select this option to delete the Lookup Table. You will be asked to confirm deletion.

Download as Excel: Select this option to download the existing Lookup Table as an Excel file.

Download as CSV: Select this option to download the existing Lookup Table as a Comma Separated Value (CSV) file.
